Student Activites Subcommittee (SAS) Weekly Minutes: 10/27

The regular weekly meeting of SAS was called to order by Hayleigh at 5:45 on Monday September 27, 2008 in Bates Meeting Room B.
Attendance: Hayleigh, Maddie, Lindsey, Elizabeth, Angelina, Eliot, Durga, Pam, Lily
Hayleigh: SAS is now in session
1) Budget Presentations
A. Budget Presentation for GenderFuck: Alexis
a. Alexis: We’re doing a David Bowie themed dance. The money we’re requesting is for decorations. It’s going to be one of the biggest dances that will be held this semester. The Bates rental fee is $600
b. Hayleigh: I’d like to open a call list
c. Neil: Did we have a dance last year?
d. Alexis: Yes, it was also in Bates. Last year it was well attended.
e. Hayleigh: Any more questions?

B. Rock and Roll Camp for Girls Book Tour: Annie Soga
a. Annie: They are asking for a donation from $300-$1000 to go directly to the tour
b. Elizabeth: So you’re saying if we donate at least $300 they’ll come and give a talk?
c. Annie: Yes
d. Lindsey: You mentioned that they have a documentary. Will they be showing that?
e. Annie: Probably just clips, so yes
f. Eliot: Have you considered any cover fee at the door or any other kind of fundraising
g. Elizabeth: It would be cool if you showed the movie beforehand
h. Durga: So the mission is to empower girls from 8-18. Have you noticed a particular demographic of ages when you’ve seen them?
i. Annie: I went to two different documentary premieres and there was a whole range of ages there. There were a lot of college students.
j. Pam: What’s the minimum cost for transportation or lodging?
k. Annie: $300, I guess
l. Neil: is the documentary more about what the camp does?
m. Annie: It follows 5 different girls and their experiences throughout the week
n. Hayleigh: Any more questions?

C. Sophomore Class Event: Elizabeth Esser
a. Elizabeth: I’m willing to cut down the pizzas to 5. I think it would be fun and I have to do it. And I’m doing it in Slonim because a lot of sophomores live there.
b. Neil: I think you’d probably want to do it outside if you were expecting a lot of people.
c. Alexis: Last year, one of the RAs did an event with s’mores at the grill and like 40 people showed up
d. Elizabeth: I’d be willing to change the location
e. Mary: If you’re going to do it outside, you have to get permission from the Committee of Student Life

D. Film Screening Presentation: Evan Davis
a. Evan: It’s a rare chance to see 35mm film be projected because its so expensive. But as you probably know, 35mm is the industry standard. Secondly, the films we’re trying to bring to campus are made my people who don’t have a large voice within the mainstream community and they’re dealing with issues about what ethnicity and community. They’re on the cutting edge of social issues with their films and they’re important for students to see. So we’re asking for funding not only to be able to show the films themselves but to bring people to the screenings to talk about them.
b. Elizabeth: Have you already taken off the $200 from the Diana Leslie fund
c. Evan: NO, it’s not included
d. Lindsey: So for the even tonight, the money for that is coming from what sources?
e. Evan: Yes, film history funded the print. And Diana Leslie
f. Neil: What is transportation for?
g. Evan: For a car service to pick him up at the airport and then take him back
h. Lily: What feedback had you gotten?
i. Evan: The initial feedback is very strong. It is looking like it will be a very very well attended event

E. Concert budget presentation: Ida Griesemer
a. Ida: Its expensive but it will be worth it. Its going to be a lot of fun. I’m interning at the recording studio which is owned by the DJ. I was going to pay for fliers myself and pick them up in my own car
b. Lily: What kind of music is it?
c. Ida: The artists are indie/pop but the DJ has lots of experience DJing with all kinds of music
d. Maddie: is there a reason you chose a Thursday?
e. Ida: It worked better for the performers

2) Budget Deliberations
A. Genderfuck Dance
a. Alexis: I just wanted to say that we haven’t heard back from Robyn the speaker on whether or not she can do the date she asked. So there is $1000 that we will not be using.
b. Maddie: I think we should be thinking in lump sums
c. Lily: With an event like this, it tends to draw more people than a speaker would but it is also about awareness
d. Neil: The only concern I have is about paying for food and drinks
e. Mary: Technically, you have to order the food through flik
f. Alexis: I wasn’t aware of that. So I’m fine with not having those things
g. Maddie: There’s a disco ball for sure in club space. And perhaps one David Bowie impersonator instead of 2. Just to throw out a lump sum of maybe $900
h. Lily: I motion to fund GenderFuck dance $100 dollars seconded. Objections.
i. Lindsey: I took out all the food and disco ball and only 1 impersonator and it came to $906
j. Mary: My recommendation is since we don’t have time for them to present another budget presentation is to give them some money for food .
k. Elizabeth: I may be alone on this but I never go to dances wanting to eat
l. Alexis: I’m willing to drop the idea of food
m. Maddie: I call the question
n. Hayleigh: We’re going to vote on voting. All those who would like to vote now raise your hand <7 yes> So we’re going to vote on the motion GenderFuck Dance a lump Sum of $1000 <7 no>
o. Maddie: I motion to fund GenderFuck dance $900 without any stipulation second. No objections <6 yes> passes
B. Rock and Roll Camp for Girls Book Tour : Deliberation
a. Neil: We aren’t allowed to donate to outside causes unless we have 2/3 vote, which we would have to do in Senate. So they technically would not be able to take any left over and consider it a donation.
b. Lily: I motion to fund $300 for this event. Seconded. No Objections
c. Hayleigh: All those in favor of this motion please raise your hand <7 yes> Passes
C. Sophomore Class Event: Elizabeth Esser
a. Neil: I think 60 chocolate bars is a lot. How many pieces of a bar do you use?
b. Rebecca: Generally, 2
c. Lily: I think we should fund $290 and if Elizabeth wants to change things around, she can
d. Pam: You did say you were fine with 5 pizzas right?
e. Elizabeth: Yeah, I did say that. Unless you don’t want me to do smores
f. Lily: I motion to fund the Sophomore Event $200 seconded. Objection
g. Neil: These events are always really successful. And I don’t think $250 or $300 is that bad. We can use your email list to tell everyone to come.
h. Durga: I think you’re gonna get a lot more people than you expect
i. Elizabeth: I know, I was just being budget conscious. I’ve never throw a big event like this but I will say that a lot of people are excited
j. Eliot: I would just like to say that about 25 people ate 8 pizzas at Oppression training.
k. Maddie: I call the question
l. Hayleigh: All those who want to end this discussion, raise your hand <4 yes>. So now we’re going to vote on the motion. All those in favor raise your hand <0 yes> all those against <4 no>
m. Neil: I motion to fund $290 seconded
n. Hayleigh: So we’re going to vote on the motion. All those in favor raise your hand <4 yes> This motion passes

D. Film Screening Presentation Deliberation
a. Elizabeth: I motion to fund in full seconded. No objections
b. Hayleigh: We’re going to vote on funding Film Screening. All those in favor raise your hand <5 yes> <0 no>
E. Concert Deliberation
a. Maddie: She seemed to know a lot about them
b. Durga: I went and saw them in the city and it was big. The DJ set was really great. It would be really refreshing to say that we could bring a DJ here
c. Elizabeth: 2 singers, a band and a DJ is a legitimate party
d. Neil: How much do we have in Dances and Parties?
e. Lindsey: We have $14, 350
f. Neil: I move to fund in full seconded. No objections
g. Hayleigh: All those in favor please raise your hand <6 yes> Motion passes in full

3) Discussion of funding Alcohol for formal
a. Maddie: Do we really need $300 for velvet rope?
b. Lily: Do you know how it worked out last year? Was there a lot of alcohol left over?
c. Mary: There was wine left over, which is why we chose beer
d. Michelle: We chose beer because people tend to drink liquor before the event and it seems a lot safer.
e. Elizabeth: So there is no other cheaper way for the velvet ropes?
f. Mary: It will cost something like that. I’m not sure how much it would be to buy them
g. Maddie: What kind of beer would this be?
h. Michelle: Debbie and I have yet to talk about that, but good beer.
i. Elizabeth: Let’s go for it.
j. Lily: I feel like if it’s only a 2-hour event, I wonder if everyone who comes who is of age are really going to have 2 drinks
k. Mary: I think we will have some left over beer, but I think people will drink their 2 beers.
l. Eliot: I motion to make a recommendation of this budget amount to Senate Second
m. Hayleigh: All those in favor of recommending this budget to senate please raise your hand <6 yes>
