Michelle Lewin was present and taking minutes. Madison Schramm Chaired tonight’s meeting due to Hayleigh’s absence.

Present: Elizabeth Esser-Stuart, Eliout Routh, Lily Harris, Lindsey Kempton, Madison Schramm, Mary Spellman, Pam Packer, Durga Chew-Bose, Neil Makhija
Absent: Hayleigh Thompson

Maddie: I’m going to chair’s today’s meeting.
Lily: It is actually December 8th. Must do it next week because of FLIK. They are donating hot water. Will not correspond to Christmas event. Event and budget are the same. My Junior class event and a SSSF fundraiser. Showing film as well: It’s a wonderful life. Selling popcorn balls and get other people to bake. Also get pizza and hot chocolate at no cost to students. 50 people maximum. Budget is for ingredients.
Maddie: Questions?
Lindsey: Would a bake sale be more effective in the daytime?
Lily: SSSF is already having a bake sale during the day. It’s nice to have food for the movie.
Eliout: Where are you popping the popcorn?
Lily: Frying pan. AC 4 has offered up their kitchen.
Neil: How big is the junior class?
Lily: I don’t know. I think about half is abroad. So maybe around 150.
Neil: Could you go bigger?
Lily: Titsworth doesn’t need an AV. There will be plenty of seating. It makes the most sense.
Maddie: Aja’s budget.
Aja: Common Ground is hosting a pre-event for the Red Pill event. We want to feed all of the performers and everyone who has been involved. About 40 people. Ordering soul food from Rib Shack. Greens, rice, chicken and fish. There will be vegetarian dishes. 400$ would cover ALL expenses. Don’t need any other funds.
Eliout: What’s the date?
Aja: December 5th at 6:30pm.
Lindsey: Do we have anything else going on?
Lily: Booze and Blues is going on afterwards.
Aja: They won’t overlap.
Lily: Is there a particular reason you…. What is the main objective of this event? Is it to eat?
Aja: There is a social element to it as well. It is a time for people to meet. It is supported by Common Ground and people from the community. It is something that doesn’t happen that often. A chance to talk to performers as well and feed them.
Elizabeth: Have you spoke with the performers and they can come earlier?
Aja: Yeah we have. There is enough time.
Elizabeth: Are you inviting the rest of the community. Are you going to publicize it?
Aja: This is really a chance for the performers to meet each other. There is also an after party. I don’t want to advertise to more people than I can feed. The performers are my priority.
Lindsey: Have you thought about other food options?
Aja: I spoke with other people, and soul food would be a great option and alternative. I spoke to the guy on the phone and he was really helpful. He would be willing to bargain.
Maddie: Jasmine’s budget.
Jasmine: I’m here for Human Rights Day. There are 18 clubs involved so far. I’m just asking to get some food when food can be served. As well as covering the traveling expenses of one of our speakers. He is doing it for free. Everyone is involved. Students, faculty members etc.
Lily: For the travel expenses: Why 40$
Jasmine: Just to make sure that there is money if something goes wrong.
Elizabeth: A cab from Brooklyn is around 40$.
Neil: Is that what he asked for?
Jasmine: Yeah.
Neil: Was everything set up and then you got participation?
Jasmine: No. We all planned it together. I started off with a core of 7 clubs. More people found out and they asked to sign their club on the list. Most of administration has been on board. Everyone is involved.
Eliout: Do you plan on having a bid schedule printed out?
Jasmine: Yes. We have that all under control. We have press releases, posters etc. We have media coming too. College events will have a booth at the pub with a stack of schedules and a campus map.
Lindsey: How many events?
Jasmine: 22 or more.
Neil: Have you thought about having faculty speak?
Jasmine: We have faculty speaking. Komozi, Rico and a few others are speaking. The big finale is a big panel of speakers! They will be speaking on various topics including ideas of global citizenship. We are also having a performance and a slideshow.
Maddie: We are going to move on. Angelina you’re turn.
Angelina: One of two. Every semester Christian Union does an event where we make Maccracken a place to study and hang out. We want to feed them and take care of them. Cookies, candy, milk, coffee, etc. Questions? The second budget is for our Christmas party. I am asking for money for food, decorations etc. It will be delicious. We will sing and watch a movie. Christmas music too. It’s a festive event.
Maddie: No questions? Let’s move into discussion on these budgets. I’ll open a call list for the first budget. Lily’s event for the Junior Class.
Lindsey: As a Junior left on campus, I like this idea. It’s great that this movie is in public domain. I’m also glad it’s a SSSF fundraiser. I support it.
Elizabeth: I motion to fund in full.

Maddie: Any objects?

Maddie: Common Ground Budget is next.
Elizabeth: My only hesitation is how do we do this when we don’t invite the entire campus? How does that go.
Mary: It’s how you guys define it.
Maddie: We can talk about it. You can talk about it
Aja: I’m concerned about it too. I don’t really believe in closed events. I am trying to organize it around the performers. Red Pill is open to everyone. Really not supposed to be an exclusive thing. It is for the SLC community at large.
Jasmine: Advertise for a half hour later and let the performers eat earlier.
Durga: What would it be like if you turned it into a potluck? That might make it more open. My worry too is that it feels like Senate is funding something only open to 40 people. It’s not open to the entire community. But you should feed people who are performing. That’s important.
Lily: I feel like its hard too because there is only enough food for the performers. Not everyone is going to eat who goes. We do need to keep this open to the entire community.
Aja: It is a subset of the Red Pill event that is open to everyone. It is part of an event that is open to the entire campus.
Lindsey: I am hesitant to fund this much money for an event that isn’t open. Obviously we couldn’t fund enough food for everyone. I like the potluck idea, but maybe it doesn’t work.
Aja: This is a time for people to chill out.
Eliout: How much have we already funded for Red Pill?
Neil: 1000 or 1500 maybe.
Durga: I remember feeling like we under funded the event. So I move to fund in full.

Maddie: Any objects?
Several. We will move into discussion.
Elizabeth: Are people going to come to us to fund money for feeding performers? I am in support.
Lily: We deal a lot with consistency. If we make a choice to fund this, we have to be consistent for the rest of the year. This sets a precedent. My fear is that people will use this as an example. While I think this a good idea, I wonder what this will mean.
Durga: I guess I agree with that, but I feel that because a lot of the performers are SLC students, we need to do this to encourage students to perform and encourage every aspect of the performance. It brings the community together in a different way. When we funded Diwali it was open to the whole campus, but then it needs to go up in price. Red Pill is in its first year. It is a great way to encourage community. I think the food is important. I think it is up to Senate to encourage that.
Neil: Practically I don’t think it will make that much of a difference. I definitely do consider that relevant our previous funding decision for the event. SLC students are still benefiting from it.
Elizabeth: I agree with Durga. These people have similar interests. This is vital. I’m going to call the question.
Maddie: We will vote on voting.

Lindsey: I think it’s a good idea to feed people. I’m not sure what foods coordinates with which event.
Jasmine: Guests are coming at 10am so we should provide them with food. Three events back to back. Film screening, discussion etc. This is for about 40 people. I expect way more. There are lots of other events as well.
Elizabeth: I think this is more than reasonable. If anything, very small for the day of events.
Lindsey: I motion to fund in full.

Elizabeth: I think this is really reasonable too.
Neil: It is definitely reasonable. I am concerned about that if more groups knew this, they would do it. We should publicize these possibilities, at least among club chairs.

Maddie: I want to take this time to brainstorm some issues that we are presented with. We don’t want to penalize a certain event.
Neil: I am concerned that most of our budgets are coming from Senators. I want to publicize more.
Elizabeth: We have had the issue of funding speakers and their dinner. We have issues of funding things that are exclusive. There was one last week or the week before… I can’t remember what it was.
Durga: It was about departments sending students to get money from us.
Elizabeth: So as a group, should we find another time to meet? Maybe next semester we could extend our SAS time to discuss. We could come up with an internal set of ideals that govern our decisions. Maybe not govern, but guide. Maybe an addendum to the bylaws?
Maddie: We could come together the last week of school as well? The 15th?
Lily: We could also do a mission statement for SAS. What do we value in terms of funding? A list of things each event should have. A lot of us have a lot of different ideals. Let’s find out what each of our ideals are. When we fund, we have something to base our decisions off of.
Elizabeth: I think Hayleigh tried to do that with the post its. I can’t remember it though. Maybe our first step could be to send out an email to all club chairs to help them understand that we are here for them.
Neil: That’s just the first step. 3 out of 4 budgets were from Senate. Maybe let’s asses things and reflect. I am surprised that some of our meetings don’t have five full budgets. These budgets seem small in some sense.
Elizabeth: The recent weeks have been really small budgets. Before that we had a big wave.
Mary: That’s normal during the end of the semester.
Durga: Could we have a SAS brainstorm?
Elizabeth: I think that’s a great idea. Maybe Monday night?
Lily and Pam: No, that doesn’t work for me.
Elizabeth: Can we extend our first SAS meeting?
Maddie: We can figure out a time with Hayleigh. Let’s make a doodle.

Eliout: I have some ideas for events I want to do for second semester. Should I wait, or do it now.
Mary: Do it now. Then you aren’t scrambling to get it on the agenda.
